SharePoint End-Of-Life: What to do?

Microsoft SharePoint is used by many companies for collaboration and document management. The web-based platform makes it possible to store, organize, share and collaborate on content. SharePoint is closely integrated into the Microsoft ecosystem and can be used both locally (on-premises) and in the cloud via SharePoint Online, which is part of Microsoft 365.

Microsoft has set the end of support for SharePoint Server 2016 and 2019. Anyone who continues to rely on these on-premises versions must act now, because using a SharePoint version that is no longer supported poses considerable risks:

  • security vulnerabilities: Without regular security updates, vulnerabilities are created that provide attack surfaces for cyber threats.
  • High maintenance and servicing costs: Customized security solutions and workarounds are required to maintain ongoing operations, resulting in high expenses.
  • Regulatory issues: Companies subject to compliance requirements risk breaches of data protection and security guidelines.
  • Workflow and application restrictions: Many existing SharePoint workflows and customized applications could lose full functionality or require extensive customization to remain usable.

Alternatives to SharePoint: migrating to the cloud or using the SharePoint Server Subscription Edition

The decision as to whether migrating to the cloud or using the SharePoint Server Subscription Edition is the right way forward is not just a technical one, but is primarily a question of business strategy.
While some companies consciously opt for a cloud solution, others decide against a cloud migration due to internal guidelines or regulatory requirements. In certain industries, such as finance or healthcare, compliance requirements may dictate that SharePoint is operated exclusively in an on-premises environment. The decision must therefore be made carefully, taking into account the individual company strategy and legal framework.

Migration to the cloud

Moving from an on-premises solution to the cloud is not a simple technology change, but a fundamental transformation of the way the entire company works. This change requires a well thought-out approach and careful preparation. Regardless of where you currently stand, we will accompany you on the path to a modern, cloud-based future. A successful transition requires a structured approach:

Analysis and planning

  • Inventory of the existing SharePoint landscape
  • Definition of the target image for the migration
  • Cost estimate and definition of the procedure

Data migration
Choice between a pure data migration (e.g. with ShareGate, Quest Content Matrix or the SharePoint Migration Tool) or a comprehensive modernization

Change management and governance

  • Accompanying communication and training already in the preparation phase
  • Introduction of governance guidelines and an evergreen approach
  • Enabling IT and specialist departments through targeted training

Managed Services

  • Takeover of ongoing operations with support and maintenance
  • Continuous optimization and further development of the environment

SharePoint Server Subscription Edition

The SharePoint Server Subscription Edition is an alternative for companies that still require an on-premises solution. This version offers a modern platform with continuous updates and long-term support without the need for major version jumps. Companies benefit from a stable environment with improved security functions and closer integration with Microsoft 365.
