Digital committee management with real-time transparency

One committee, many agenda items—but no time to wait

2:00 p.m. My slot on the committee. Or so I thought. Because the colleague before me is still in the middle of his presentation, and no one knows exactly when my topic will come up. So should I wait, or just come back later? After all, there’s no transparency, no real-time information, no clear structure, and my tools aren’t helping me either. Why be on time when the system itself isn’t keeping up with the times?

This is exactly where the idea comes in: digital committee management that not only manages appointments but also creates real-time transparency. Because who knows if my agenda item will even be discussed today?

Customer requirement

A company needs a digital solution for the efficient planning and documentation of its committees. Since meetings often do not run according to schedule, it was unclear when individual topics would actually be addressed. The aim is therefore to provide agenda items in real time, record decisions centrally, and track open items transparently. Real-time tracking should also indicate whether an agenda item is still being discussed, allowing participants to join “just in time.” The company wants a customized solution that goes beyond standard tools such as SharePoint.

Challenge

The existing processes for committee organization are predominantly manual and based on an older SharePoint system. Information must be collated from various sources such as emails, Excel files, and other tools, which significantly increases the effort required for planning, documentation, and follow-up. The aim of the project is to introduce a central, digital solution that is available both stationary and mobile and enables efficient, transparent, and user-friendly support for committee work.

SPIRIT/21 Solution

SPIRIT/21 provides a web-based application and a native iOS app. These enable flexible and location-independent planning, real-time communication in the event of changes, and structured tracking of committee items and decisions. Operation and support were also provided by SPIRIT/21.
